What assurance we can give you for quality of our work?
- Before you commit to an Agreement, we offer you to provide us up to any 2 Clients files for us to prepare the Accounts, Tax Returns and related schedules/working papers. This is without obligation and without any charge. However, we will give you an indication of the costs for the work carried out.
- You assess our work and then decide whether you wish to appoint us to carry out your outsourcing work or not.
- We also invite you to visit our operations in India. You pay for the flights and we will provide accommodation. On average it takes 2-3 days to inspect our set up and have meetings with senior Partners and Managers.
By signing an Agreement, are you bound to outsource everything to us?
- No you are not
- You may commit to us for a few Clients at a time and in batches
- This gives you further opportunity to assess the quality and efficiency of our work and indication of costs for similar work.
What is the next step, assuming you wish to consider appointing us?
- We will submit a Proposal, based on our meetings, your possible visit to India and work done on 2 files
- If need be, we can have further meeting/s to cover any salient points.
What are the next steps for going ahead and signing an Agreement?
- Soon after both parties sign an Agreement, a Welcome Pack is given to you which will cover the following:
- Allocation of Partners, Managers and staff for your various tasks, at both ends
- Transmission of Data and Documents
- Setting up of a secure VPN (Virtual Private Network) dedicated to you, where documents are uploaded and downloaded, 24-7 days a week.
- Process for sending and receiving original documents (mostly expense bills/invoices), by Couriers
- Complaints procedure
- Billing Process
What are our Charges for various type of work?
- For Payroll we have set charges based on number of Employees. However, we can agree fixed fees if desired
- For all other work we can charge on an hourly basis or agree a Fixed Fee. It will depend on the tasks involved and how the information is provided.
- Assuming we are asked to carry out complimentary work on the 2 Files, you should be able to get a good indication of our costs.
- Before commencement of any Client’s work, we can give an indication of number of hours it may take to complete the task. This we can provide after reviewing their paperwork and by what means it is submitted to us. For each Client File, we will request you to fill in a Questionnaire which will include various questions about the type of Client, tasks to be undertaken, how are documents/data to be submitted, deadlines – internal and external, etc.
Are there any charges for Document submission?
- For scanned documents and spreadsheets uploaded to the VPN, there is no charge for downloading
- For Documents sent by Courier there are charges for collection and delivery back to you, after they are processed. Charges are per kilo of documents. Approximate cost is £6.50 per kilo, and DHL/FedEx are contracted to provide this efficient, secure and fact service.
How secured are your Documents and Data?
- Data uploaded to your VPN is fully secured at our end. You must ensure that your Server/System is protected from unauthorised access by ensuring that adequate and effective Firewall is installed
- We have secured backups as well
- Documents sent by Couriers are covered by Courier Insurance
- We have adopted a very secure and efficient process for sending and receiving hard copies of documents. However, there is always a small percentage chance of parcels going astray due to circumstances beyond our control. We, therefore, encourage submission of scanned documents.
Do we provide Cloud based or On-Line Accounting?
- Yes, we do
- We use all popular Software, including Sage, Quick Books, Xero, etc.
- There are two options here:
- We be given access to your existing Package, or
- We set-up the desired software and give you access.
- We will discuss these options in detail and agree which mode suits a Client, to what level access be given, etc.
- If additional licenses need to be purchased, we can agree who will bear the costs
Do we have any Quality Control in place?
- We have extensive process for recruitment of staff
- New staff, whether they are Qualified and/or experienced or not they undergo induction procedures, including making themselves familiar with UK Reporting and types of documents they will be processing. Each new staff is given 100 different types of records including Invoices to acquaint themselves with. They spend up to 2 weeks going through internal procedures before they start doing actual work
- Subject to the type of Client work, there are procedures where one or more senior staff/manager/partner review the reports before they are sent out to you/clients.
Who will you be dealing with on a day-to-day basis?
- Initially a UK Partner and/or a senior Accounting staff will be involved, for the takeover process
- Thereafter, a Senior Qualified Accountant will be assigned, in India, and he/she will allocate tasks to appropriate staff
- However, all communication will be through us until both parties are comfortable in dealing with each other
- Communicating directly with allocated staff in India will short-circuit the process.
How will we Communicate?
- We communicate through following mediums
- Telephone – allocated UK Numbers
- Skype
- Emails to designated staff
